Position: Manager, Procurement

Department: Procurement and Administration

Reporting Officer: Executive Director, Property Management

Main Duties & Responsibilities

  • Collaborate with requestors to understand their requirements for equipment, supplies, maintenance services (cleaning, repairs), utilities, etc.
  • Research and identify qualified vendors who can provide the required goods and services at competitive prices. This may involve attending trade shows, conducting market research, and leveraging industry resources.
  • Negotiate contracts with vendors to secure the best possible terms in terms of price, quality, delivery time, and service level agreements (SLAs).
  • Build and maintain strong relationships with key vendors. This involves fostering open communication, addressing any concerns promptly, and negotiating mutually beneficial partnerships.
  • Oversee the creation and processing of purchase orders for all facility-related needs, ensuring accuracy and compliance with company policies.
  • Implement systems to manage inventory levels for commonly used supplies and equipment, optimizing stock levels and minimizing costs.
  • Identify cost-saving opportunities. This may involve negotiating better pricing with existing vendors, exploring alternative sourcing options, or implementing cost-reduction strategies.
  • Manage the procurement budget allocated for facilities, ensuring efficient spending and adherence to financial guidelines.
  • Identify and mitigate potential risks associated with procurement activities, such as vendor performance issues, supply chain disruptions, or price fluctuations.
  • Ensure all procurement activities comply with company policies, regulations, and industry standards. Maintain the approved vendor list and conduct yearly review.
  • Keep abreast of market trends in facility management and procurement practices, including new technologies and evolving supplier landscapes.

Job Requirements

  • Candidate must possess at least a bachelor’s degree in business administration, supply chain management or equivalent
  • At least 10 years of work experience preferably in property/facility management

Position: Senior Executive, Property Management

Department: Property Management

Reporting Officer: Executive Director, Property Management

Main Duties & Responsibilities

Facility Operations and Maintenance:

  • Oversee the daily operations and maintenance of existing facilities. This may include coordinating cleaning services, managing waste disposal, and other term contractors and addressing any tenant or occupant concerns.
  • Develop and implement preventive maintenance programs to minimize equipment breakdowns and ensure the smooth functioning of facilities. This involves scheduling regular inspections, coordinating repairs with vendors, and maintaining maintenance logs.
  • Manage the process of addressing urgent repairs and maintenance issues within the facilities. This involves diagnosing problems, coordinating with repair technicians, and ensuring timely resolution.
  • Develop and manage budgets for facility operations and maintenance. This includes allocating resources effectively, controlling costs, and identifying opportunities for budget optimization.
  • Attend night calls from Authorities/Tenants during fire alarm or emergencies.

Project Management:

  • Participate in managing projects related to facility upgrades, renovations, or space optimization.
  • Manage relationships with vendors providing various facility services, such as cleaning, security, landscaping, and maintenance. This includes negotiating contracts, monitoring service quality, and ensuring adherence to service-level agreements.

Compliance and Reporting:

  • Ensure facilities comply with all relevant safety regulations and building codes. This involves conducting regular safety inspections, implementing safety protocols, and maintaining documentation.
  • Prepare reports on facility operations, maintenance activities, budgets, and vendor performance.

Sustainability and Space Management:

  • May be involved in implementing sustainable practices within the facilities to reduce energy consumption and environmental impact.
  • May oversee the allocation and management of space within the facilities to optimize utilisation and meet user needs.

Position: Administrative Executive

Department: Procurement and Administration

Reporting Officer: Executive Director, Property Management

Main Duties & Responsibilities

General Administrative Duties:

  • Manage incoming calls, emails, and inquiries. This may involve directing calls to appropriate personnel, answering routine questions, and scheduling appointments.
  • Create, maintain, and organize facility-related documents, such as maintenance logs, tenant records, and meeting minutes. Ensure these documents are accurate, up-to-date, and readily accessible.
  • Manage calendars for facility managers and other staff, scheduling meetings, appointments, and facility inspections.
  • If applicable, arrange travel and logistics for facility personnel, including booking flights, hotels, and car rentals.
  • Be the first point of contact for external visitors and guests; providing good hospitality by escorting to meeting rooms and serving refreshments as part of receptionist duties.
  • Support catering for special events and other meetings as required. Ensure meeting rooms are operating and well-organised.
  • Oversight of all service contracts within office operations, such as photocopier, storage, sanitary, maintenance etc.
  • Pantry and stationery management, including sourcing for options, costs management and ensuring supplies are sufficient.
  • Manage/Support door access control system including registration for new hires.
  • Mail distribution and arranging for courier services.
  • Any ad-hoc works in relation to office operations.

Property Management Support:

  • Assist procurement manager with issuing/processing work orders for maintenance requests, repairs, and other property/facility needs. This may involve collecting information, communicating with vendors, and tracking the progress of work orders.
  • Facilitate communication between property/facility managers and vendors, assisting with scheduling appointments and following up on service requests.
  • Assist with preparing reports on property/facility operations, such as maintenance costs. May also be responsible for data entry into property/facility management software systems.
  • To maintain monthly records for utility charges incurred property/facility-wide.

Department: Asset & Development Management

Reporting Officer: Executive Director Asset & Development Management

We are seeking a motivated and passionate Sustainability Intern to join our team. This internship offers a unique opportunity to gain hands-on experience in sustainability initiatives within the commercial real estate sector. The intern will assist in various projects aimed at enhancing our environmental performance, reducing our carbon footprint, and promoting sustainable practices across our portfolio.

You will report to the Executive Director, Asset and Development Management.

Main Duties & Responsibilities

  • Assist in the development and implementation of sustainability initiatives and programs.
  • Collect and analyze data related to energy consumption, water usage, waste management, and other sustainability metrics.
  • Support the preparation of sustainability reports, presentations, and marketing materials.
  • Participate in site visits to evaluate and document sustainability performance of properties.
  • Collaborate with cross-functional teams to integrate sustainable practices into ongoing projects.
  • Monitor and report on the progress of sustainability goals and objectives.
  • Help organize and participate in sustainability-related events, workshops, and community outreach programs.
  • Stay up-to-date with industry trends, best practices, and emerging technologies in sustainability.

Job Requirements

  • Currently pursuing or recently completed a degree in Environmental Science, Sustainability, Real Estate, or a related field.
  • Strong interest in sustainability and environmental stewardship.
  • Excellent research, analytical, and problem-solving skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
  • Strong written and verbal communication skills.
  • Ability to work independently and as part of a team.
  • Detail-oriented with strong organizational skills.
